Job description

  • You will be responsible for the comprehensive review and professional processing of all incoming business trip requests from employees within the SAP system used, in compliance with internal guidelines
  • In addition, you will be responsible for the detailed organisation of all business trips, taking strict account of the complex legal requirements of the current Federal Travel Expenses Act for legally compliant processing
  • Furthermore, you will support employees with individual travel planning in Germany and independently book all necessary means of travel such as rail connections, flights, rental cars and suitable hotels, car hire and suitable hotels
  • You will also be responsible for managing appointments for the entire vehicle fleet management, ensuring the coordination of maintenance and vehicle occupancy for a smooth process
  • as part of your job, you will support travellers with all accounting issues and ensure transparent communication between the various departments
  • finally, you will be responsible for the correct documentation of all travel processes in SAP and thus make a significant contribution to optimising the administrative processes within the entire administration

Requirements

  • You have completed training as a tourism clerk (m/f/d), office management assistant (m/f/d) or hotel management assistant (m/f/d) and have sound practical experience in travel management
  • In addition, you have relevant professional experience in independent travel organisation as well as sound knowledge in the application of the Federal Travel Expenses Act for public administration or similar institutions
  • You have a sound knowledge of the IT skills SAP Concur as well as in the use of common MS Office applications.applications will set you apart in the day-to-day processing of complex administrative procedures
  • You have a native level of written and spoken German as well as fluency in English for professional communication with customers and international partners
  • In addition, you have a high level of organisational skills and strong communication skills, to always handle the various requirements of travellers in a friendly and solution-oriented manner
  • Finally, you are a motivated team player and work absolutely independently, in a structured manner and with a very high level of precision when recording and checking confidential travel data
