Job description
- You will be responsible for the organisation of visit registrations as well as the entire office organisation including the ordering of materials and ensure a smooth administrative project flow through your forward-looking way of working
- In addition, you will be responsible for the dispatch and preparation of important documents and actively support the organisation of business appointments and occasional team events directly on site
- Furthermore, you will be responsible for the organisation of appointments for team and customer meetings and prepare precise presentation templates and minutes for the meetings, to ensure complete documentation of project results
- You will also be responsible for preparing travel and expense reports and ensuring that all billing processes are completed on time and in accordance with internal guidelines
- As part of your role, you will support the onboarding of new colleagues and be responsible for updating employee profiles:You will be responsible for updating employee lists and consistently following up on all necessary safety instructions for the project team
- Finally, you will be responsible for handing over work equipment, vehicle keys and service laptops to service providers, including the proper filing and audit-proof archiving of all relevant data and documents
Requirements
- You have completed training as an office management assistant (m/f/d), industrial clerk (m/f/d) or forwarding and logistics services clerk (m/f/d) and also have a strong technical understanding
- In addition, you have initial sound professional experience as an assistant (m/f/d) or in project management, ideally having already gained experience in an industrial corporate environment
- You are confident in the common MS Office applications, especially in PowerPoint and Excel, characterise you and enable you to create professional presentations and reports
- You have a native level of written and spoken German and a good command of English, which you can use confidently and professionally at all times for internal communication with all interface partners involved
- You have a valid work permit and reside in Germany, in order to be able to carry out the activities without legal restrictions within the framework of temporary employment with a takeover option at the Offenburg site
- Furthermore, you have a high degree of organisational skills and enjoy working cooperatively with various internal and external contact persons and service providers
- Finally, you are absolutely reliable and always work in a structured and independent manner in order to optimally support and coordinate the administrative processes within the company workshop at all times
