Job description

  • You will be responsible for the independent handling of general administrative tasks and correspondence with all parties involved
  • In addition, you will be responsible for the planning and organisation of smaller cultural events as well as the coordination of all necessary resources on site
  • Furthermore, you will be responsible for the preparation of invoices and documentation in event management and ensure the complete recording of all relevant data.
  • Maintaining diaries and preparing meeting documents for internal committees is also part of your daily tasks
  • As part of your role, you will support the department head in budget monitoring and prepare information for the planning of future cultural projects
  • Finally, you will be responsible for communication with external service providers:inside as well as obtaining offers

Requirements

  • You have completed training as an administrative assistant (m/f/d), office management assistant (m/f/d) or specialist for media and information services (m/f/d)
  • In addition, you have professional experience in public administration or in the field of event planning and have a good understanding of processes
  • You have a good knowledge of the common MS Office applications and specialised administrative software.applications and specialist administrative software to handle your tasks digitally
  • You have a native level of written and spoken German and are able to express yourself precisely
  • In addition, you have a high level of organisational skills and resilience as well as strong communication skills in dealing with various stakeholders:
  • Finally, you are a team player and always work reliably and in a structured manner in order to always maintain a clear overview, even with complex tasks
