Job description

  • You will be responsible for the planning, preparation and follow-up of meetings, including taking minutes and following up on tasks
  • You will also be responsible for the organisation and coordination of travel plans and the settlement of travel expenses in accordance with internal guidelines
  • You will take on the role of administrator for MS Teams, SharePoint and other relevant systems
  • You will be responsible for the administration of the contract management process, including the use of the CorA contract management system and conducting compliance checks
  • You will be responsible for monitoring and tracking the team's budget expenditure
  • You will actively support the preparation of reports and analyses on financial expenditure
  • In addition, you will be responsible for internal and external correspondence, including daily coordination with international colleagues and external partners
  • ensuring a smooth flow of information within the team and with external stakeholders rounds off your job profile

Requirements

  • You have completed commercial training, e.g. as an office management assistant (m/f/d), industrial clerk (m/f/d) or a comparable qualification
  • You have already gained several years of professional experience in an assistant or secretarial role
  • Furthermore, you have initial experience in using modern communication and organisation tools (e.g. MS Teams, SAP, Concur)
  • You have very good knowledge of MS Office (Word, Excel, PowerPoint, Outlook). MS Teams, SAP, Concur)
